What are the personal data we collect and for what purpose we collect it

At checkout, we will collect your name, email address, username, and password. This information is used to setup your account for our site. If you are redirected to an offsite payment gateway to complete your payment, we may store this information in a temporary session variable to setup your account when you return to our site.

At checkout, we may also collect your billing address and phone number. This information is used to confirm your credit card. The billing address and phone number are saved by our site to prepopulate the checkout form for future purchases and so we can get in touch with you if needed to discuss your order.

At checkout, we may also collect your credit card number, expiration date, and security code. This information is passed to our payment gateway to process your purchase. The last 4 digits of your credit card number and the expiration date are saved by our site to use for reference and to send you an email if your credit card will expire before the next recurring payment.

When logged in, we use cookies to track some of your activity on our site including logins, visits, and page views.

What we collect and store

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed

Forms

Ultimate Member provides you with forms for user registration, login and profiles.

Via these forms you are collecting personal data from your users.

You should include in your privacy policy what personal data is captured when someone submits/fills in one of the forms, why you collect it and what you do with this data and how long you keep it.

How long we retain your data

Registered user information is retained in your website’s database indefinitely.

Data can be exported or removed upon users request via the existing WordPress data exporter or eraser.

If syncing data to a 3rd party service (e.g Mailchimp via our MailChimp extension), data is retained there until unsubscribed or deleted.

Where we send your data

Ultimate Member does not send any user data outside of your site by default.

If you have extended the functionality of the plugin (e.g sending registered user data to MailChimp via our MailChimp extension, this user info may be passed to these external services. These services may be located abroad and out with the EU.

Events Calendar

Event, Venue, and Organizer Information

If you create, submit, import, save, or publish Event, Venue, or Organizer information, such information is retained in the local database:

  1. Venue information: name, address, city, country, state, postal code, phone, website, geographical coordinates (latitude and longitude)
  2. Organizer information: name, phone, website, email
  3. Event information: website, cost, description, date, time, image

Importing Events, Venues, and Organizers:

  1. All data present within a CSV or ICS file and external URLs (for events, venues, organizers, and tickets)
  2. Import origin data (URL from where events are being imported—such as Eventbrite, MeetUp, other compatible URL sources, and more, which can include similar or same data as listed above)
  3. Eventbrite Ticket information: name, description, cost, type, quantity

Please note that to create new events through the Community Events submission form, a user must hold a website account on this domain. This information is retained in the local database. It is also possible to create events anonymously, if the site owner has this option enabled.

When purchasing Eventbrite Tickets, attendee, purchaser, and order information are stored and managed by Eventbrite.

API Keys

We make use of certain API keys, in order to provide specific features.

These API keys may include the following third party services: Google Maps, Meetup, PayPal, and Eventbrite (API key, auth URL and Client Secret).

Comments

When you submit a comment, in addition to what is specified in the comment form, the contributor’s IP address and browser identification string are collected to filter out spam.

An impersonal string generated from the e-mail address (called hash) is transmitted to the Gravatar service when it is used on this page. The terms of the Gravatar service can be viewed at the following address: https://automattic.com/privacy/. After you accept this post, the content of our post and our profile picture will also be published publicly.

Media

If an image is uploaded to the website by a registered user, EXIfs that include GPS position data should be avoided. Visitors to the website can download and extract location data from the images on the website.

Cookies

If you post a comment on your website, you can remain logged in by storing your given name, email and web address in a cookie. Storage is for your convenience so that you do not have to fill in these data fields the next time you post. These cookies have an expiration date of 1 year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log on to the website, we create multiple cookies that save the login information and the display options in the editing area. Login cookies are valid for two days, the cookie that stores the display options in the editing area for one year. If you select “Remember me”, the check-in will continue for two weeks. Login cookies will be removed at check-out.

If you edit a post or page, another cookie is stored in your browser. This cookie does not contain any personal information, it simply stores the registration identification number that we edited. It expires in a day.

Embedded content from other websites

Posts on this website can use embedded content from third-party sources (e.g. videos, images, articles, etc.). Embedded content from external sources behaves exactly as if we’d visited another website.

These websites may collect information about visitors, use cookies or third-party tracking code, monitor user behaviour related to embedded content if we have a user account and are logged on to the site.

How long we keep your personal data

If you post, the comment and its metadata remain in the system for an unspecified period of time. This is to make all subsequent posts known and approved by us, i.e. not to be added to the list of moderators.

The personal data of users registered on the website(if any) will also be stored in their own user profiles. All users can view, edit, or delete your personal information at any time (except that they cannot change their user name). Website administrators can also view and edit this information.

What rights does the user have in relation to their own data

If you have registered an account or comment on this website, you may be asked to send your personal data in an export file containing any information that has previously been provided by the user. We may also request that any personal data you have previously provided be deleted. This does not apply to data that we are required to retain for administrative, legal or security reasons.
